Active Oxfordshire understands that your privacy is important to you and that you care about how your personal data is used. We respect and value the privacy of all our clients, district councils, education professionals and community partners and will only collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.

The YouMove Pathway is operated by Active Oxfordshire, a charity, registered in England under 1179040. Our registered address is Marlborough House, 69 High Street, Kidlington, OX5 2DN. We are registered with the UK’s Information Commissioner’s Officer, registration number ZA475209.
What Is Personal Data?
Personal data is defined by the UK GDPR and the Data Protection Act 2018 (collectively, “the Data Protection Legislation”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.
Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

Under the Data Protection Legislation, you have the following rights, which we will always work to uphold:

How Do You Use My Personal Data?
Under the Data Protection Legislation, we must always have a lawful basis for using personal data. The following describes how we will use your personal data:
- To process a You Move registration from Oxfordshire residents and community partners onto the You Move pathway.
- To record referrals from Community Partners.
- To share the data you provided to us with the 5 Oxfordshire District Councils, who help run the programme. They will use this information to send you your membership cards, send you other information, to get in contact with you about matters relating to the programme, and other reasons for the purpose of running the programme.
- To share names, ages, and addresses of some participants with Oxfordshire County Council for the purpose of confirming eligibility.
- To share participant data in an anonymised form with our evaluator, ThinkClarity, for the purpose of evaluating the programme.
- To share your first name and the first initial of surname with the community providers, who run community activities that you may attend, for the purposes of recording attendance.
- To authenticate user access to the You Move pathway.
- To share your story, in the form of a case study, with our funders and future users of our services.
- To anonymise feedback to re-use in You Move reporting and promotional materials.
Our lawful basis for processing your personal data, and special category of personal data is consent .
In cases where there is evidence of a safeguarding concern (i.e., when we are concerned that you are at risk of harm or someone else will be harmed), information will be shared with the appropriate organisation without your consent.
We will only use your personal data for the purpose(s) for which it was originally collected unless we reasonably believe that another purpose is compatible with that or those original purpose(s) and need to use your personal data for that purpose. If we do use your personal data in this way and you wish us to explain how the new purpose is compatible with the original, please contact us.
How Long Will You Keep My Personal Data?
Unless a longer retention period is required or permitted by law, we will only hold your Data on our systems for the period necessary to fulfil the purposes outlined in this privacy policy or until you request that the Data be deleted.
How and Where Do You Store or Transfer My Personal Data?
